1. Reservations and Confirmations
1.1 These Terms and Conditions apply to lodging and services provided through VIP Management, Inc.
VIP Management reserves the right to modify these Terms and Conditions at any time by posting on the Terms and Conditions page of the VIP Management and Real Estate website. The property where you stay (private home, condominium, or other property) is referred to as the Home, and any person occupying the Home is referred to as a Guest.
1.2 The person signing the Rental Agreement is the Group Leader. The Group Leader must be at least 21 years of age and must be a member of the group staying at the Home. The Group Leader is responsible for informing all Guests and visitors of these Terms and Conditions, and the Group Leader is responsible for the actions of all Guests in the party and visitors.
1.3 Confirming a Reservation
a. VIP Management will not confirm reservations until it has received the required deposit, and the Group Leader has signed the Rental Agreement.
b. To confirm a reservation, the Guest must pay a deposit of 50% of the total package cost (unless specifically agreed otherwise) and provide the signed Rental Agreement within 24 hours after the Rental Agreement is sent.
c. The remaining balance of the total cost is due 60 days prior to arrival. Reservations within 60 days of arrival require full payment at the time of reservation.
d. VIP Management will charge a 2.9% fee for credit card payments. To cover the cost of processing a credit or charge card transaction.
e. VIP Management may cancel any reservation that does not comply with these requirements. Prices and availability are subject to change until the reservation is confirmed.
f. Once confirmed, the specific Home and dates you reserve are guaranteed. If an unforeseen circumstance causes the Home to be uninhabitable, VIP Management and Real Estate reserves the right to substitute. The substituted home to be of equal or greater value.
1.4 VIP Management and Real Estate may cancel or refuse to accept any reservation if any Guest in the party has previously breached the VIP Management and Real Estate Terms and Conditions.
1.5 Accidental Rental Damage Coverage (ARDC), costing between $35-$55, is required for all reservations. ARDC provides Guests with up to $3000 coverage for accidental damage that occurs during the stay. ARDC does not cover intentional damage, damage caused by a pet, or by careless actions such as wearing shoes inside a Home, failing to close a garage door or hot tub cover, not closing doors and windows while AC is running or other house rules outlined in the House Guide for that Home. Guests will be liable and charged for damage to the Home and contents occurring during the stay that is not covered by ARDC.
1.6 All special requests and requests for additional services or activities must be communicated directly to VIP Management Staff. Any verbal communications must be confirmed by e-mail. Undocumented requests may not be fulfilled.
1.7 Vacation Home Rentals are subject to applicable resort fees and lodging taxes which may be subject to change without notice. In the event that US Virgin Islands the local governments increase taxes, any additional tax will be due prior to the departure of the stay. Lodging Quotes shown are inclusive of rent, cleaning fees and resort fees.
2. Check-In / Check-Out
2.1 All Guests will be provided detailed check-in instructions prior to arrival. Check-in and access to the Home require:
· payment in full
· signed rental agreement
· Guest verification using a valid government-issued photo ID
· a credit card to be kept on file to which any amounts payable by Guests may be charged
2.2 Check-in time for ALL Homes is from 4:00 pm and check-out is by 10:00 am. Requests for early check-ins or late check-outs are strictly subject to availability and may only be approved the day of arrival/departure. The Group Leader must notify VIP Management and Real Estate if the first party to check-in will not be the Group Leader. Failure to do so may result in delay or refusal of check-in for that person.
2.3 Homes are inspected after every stay, and additional cleaning charges will be imposed if the Home is not left in a reasonable condition and extraordinary cleaning is required.
• Windows and doors must be left closed.
• Trash must be in trash receptacles and dumpsters
• Dishes must be washed and put away or left clean in the dishwasher.
• Used towels are to be left in the bathtub or shower.
• Garage doors (if applicable) must be left closed.
• Furniture must be in its original location.
• All keys and garage door openers (if any) put back to the lock box.
2.4 Guests must verify the number of keys and garage door openers received at check-in and agree to pay $35.00 per lost key,
$99 per lost pool keys and fobs and trash cards and $75 per lost garage door opener.
3. Cancellation and Refunds
3.1 Notification to VIP Management and Real Estate in writing (e-mail) is required for the Guest to cancelany reservation, catering, additional services, or activities. 24 hours after the reservation is confirmed with a partial or full payment, a reservation may not be changed to a different property. After 24 hours, VIP Management considers the reservation to be finalized and is unable to make any changes. Guests with confirmed reservations who desire to change Homes, regardless of reason, must cancel the original reservation pursuant to the cancellation policy, and a new reservation must be made at the alternate Home, which reservation is also subject to the cancellation policy.
3.2 In the case of cancellation by the Guest, all payments are non-refundable. Refunds are in the sole discretion of VIP Management and Real Estate, and if any kind of refund is offered, VIP Mangement and Real Estate will retain 20% to cover administrative costs and credit card fees.
3.3 VIP Mgmt highly recommends that Guests purchase travel insurance. VIP Mangement and Real Estate offers travel insurance at the time of reservation. Travel insurance may be added anytime up to final payment 60 days prior to arrival. For coverage of pre-existing conditions or other insurance questions, the Guest must contact Play Travel Protection
3.4 There are no full or partial refunds for late arrivals or early departures.
4. General Terms and Conditions

4.1 Travel to and outdoor and indoor activities on the island during any time of year involve risks that Guests must make themselves aware of. Potential risks include, without limitation, those associated with slippery conditions, falling on the wet floor by the pool, or climbing steep hills or rocks around the property. Guests waive and release and agree to hold harmless and indemnify VIP Management and Real Estate and the Homeowner against any and all claims, actions, and damages (claims) arising from any cause during their stay, including out of activities they participate in during their stay, including, without limitation, personal injury, property damage, expenses, judgments, fines, settlements and other amounts resulting from the Guest stay, other than claims arising from the gross negligence of VIP Management and Real Estate, its agent or employee.
4.2 Not all Homes are equipped with a safe. VIP Mangement and Real Estate is not responsible for Guests’ property. Please consider leaving valuables at home.
4.3 Quiet time in all locations is from 8 pm to 7 am. Many Homes are in residential areas, and any violations of municipal noise or disturbance ordinances may result in citations and fines, which are the sole responsibility of the Guests. VIP Management and Real Estate may immediately terminate the stay of any Guest causing unreasonable noise and disturbance and retain all amounts paid. No events / parties / weddings / DJs or Bands with amplified sound are permitted, and this will be strictly enforced. Most of our Homes have monitoring devices that track temperature, occupancy, and noise.
4.4 The number of visitors at the Home at any time may not exceed maximum overnight occupancy. If this restriction is violated, VIP Management and Real Estate may immediately terminate the stay, retain all amounts paid and charge a $2,500 unauthorized event fee to the Guest’s credit card on file.
4.5 Without limitation, the following are prohibited: outdoor sleeping, any activity where more than the maximum number of overnight occupants are present, events (such as weddings, parties, receptions, bachelor/bachelorette parties), temporary or permanent tents or other outdoor structures, commercial kitchens, the preparation of any food onsite for persons other than Guests and visitors.
4.6 Smoking and vaping are not permitted in any part of the Home or in vehicles operated or rented by VIP Mangement and Real Estate, including on decks, balconies, or porches and within 100 feet of entrances. Decontamination and littering charges starting at $500 per day will be assessed. Fireworks are also not allowed to be set off anywhere on the Home’s property.
4.7 All Guests agree that they shall not, and will ensure that any visitor of any Guest shall not, record, film, video, or in any other way document any sort of media production for broadcasting or public use in any format in the Home they have reserved, unless the Guest(s) and/or visitor has received prior express written consent of VIP Management and Real Estate, which consent may be withheld in its sole discretion.
4.8 Additional housekeeping services are available for an additional charge based on the requested service and the size of the Home.
4.9 Guests should avoid wearing outdoor shoes inside the Home to protect carpets and floor surfaces. Guests will be responsible for any additional cleaning charges or damage resulting from shoes being worn in the Home or any damages resulting from additional guests gathering at the Home contrary to the terms described above.
4.10 DIVERSITY, EQUITY, INCLUSION, and SAFETY: Guests and visitors shall act responsibly and respectfully toward other Guests, VIP Management and Real Estate staff, and community members. VIP Mgmt and Real Estate will take appropriate and immediate action in response to complaints or knowledge of violations of its policy. VIP Management and Real Estate may immediately terminate the stay and retain all amounts paid if, at any time during the stay, a Guest or visitor acts in a dangerous, unruly, or malicious manner, including verbal or physical abuse. Additionally, VIP Mangement and Real Estate will not tolerate any discriminatory language or harassment over sex, sexual orientation, race, national origin, religion, or disability.
4.11 Use of illegal drugs in the Home or VIP Management and Real Estate vehicles is prohibited and may result in immediate termination of the stay and VIP Mangement and Real Estate retaining all amounts paid. Marijuana, now legal in US Virgin Islands, may not be consumed by vapor pipe or smoked inside any Home. Edible marijuana products are a hazard that must be removed at check-out.
4.12 MM and its employees are not responsible for underage consumption of alcohol or drugs by Guests or visitors, Guests or visitors driving while intoxicated, or any accidents involving Guests or visitors.
4.13 Guests riding in MM vehicles must abide by Colorado’s Motor Vehicle Laws, including requirements regarding seat belts. Front seat passengers are required to wear seat belts, and all children must be properly buckled in a seat belt or car seat. Colorado law requires that infants under one year of age or 20 pounds ride in a rear-facing car seat. Children ages one to four and between 20 and 40 pounds must ride in an appropriate rear- or forward-facing car seat. Colorado law also requires that children over age 4 but under age 8 ride in a forward-facing car seat or a booster car seat unless they are over 4’9″ tall or weigh more than 80 lbs. Children who are not required to be in a car seat or booster seat but are under 16 years old must be buckled in a seat belt. Parents traveling with infants should bring their own car seats or arrange to rent car seats before arrival. Guests are solely responsible for complying with these requirements.
4.14 VIP Management and Real Estate offers guest services to arrange things such as transportation and activity reservations. Certain suppliers require VIP Management and Real Estate to provide the Guest credit card information to make reservations. For all services arranged through VIP, the provider is the merchant of record and not VIP Management and Real Estate, and the provider is solely responsible for the services provided and resolving any disputes.
4.15 Equipment and amenities (including hot tubs) in the Home may require service or repair from time to time, and VIP Management and Real Estate will endeavor to facilitate this as soon as possible. No refunds or credits are provided if equipment or amenities in the Home, or community amenities such as pools and hot tubs, are out of service.
4.16 Exclusive jurisdiction and venue for any legal proceedings between Guests and VIP Mangement, Inc. or involving these Terms and Conditions shall be in St. Thomas, US Virgin Islands
The following additional Terms and Conditions apply to all properties EXCEPT One Steamboat Place:
4.17 Except as otherwise noted below with respect to specific properties, the number of vehicles allowed in a private garage and/or driveway, or shared parking lot or garage varies by residence. Contact Moving Mountains for details. If the Home has a garage, Guests are encouraged to use the garage for overnight parking. Guests are not permitted to park at any time on public streets or in areas providing access to other properties. Guests are responsible for any parking citations and fines that they incur.
4.18 Property Specific Parking Instructions
a. Steamboat Edgemont Guests are allowed one reserved underground parking space. Additional parking may be available outside the building. No more than two vehicles per residence are permitted at one time unless the Guest receives prior written authorization from a manager at MM.
b. Steamboat Chateau Chamonix Guests are allowed one reserved, covered parking space. Additional parking may be available (uncovered) near the pool area. No more than two vehicles per residence are permitted at one time unless the Guest receives prior written authorization from a manager at MM.
c. Breckenridge One Ski Hill Guests are allowed one vehicle per residence in the garage at One Ski Hill. One additional or oversized vehicle may be allowed to be parked in an outside lot with prior written authorization from One Ski Hill.
d. Beaver Creek Slopeside Residences (Chalet Fortessa, Chalet Verve and Chalet Brio) guests are allowed one vehicle per residence in the parking garage.
5. Pets / Service Animals
5.1 Service animals, as defined pursuant to regulations under the Americans with Disabilities Act, are allowed to accompany Guests during their stay. Service animals must be individually trained to perform a task for the benefit of an individual with a disability. Animals providing emotional support, comfort or companionship are not service animals. Guests must notify VIP Mangement and Real Estate at the time of reservation if they will be bringing a service animal. Service animals may be removed if they are disruptive, aggressive, or not housebroken.
Under USVI, it is a criminal offense to misrepresent an animal as a service animal. C.R.S. §18-13-107.7
5.2 Pets (Dogs Only)
a. Except for service animals, Guests are prohibited from bringing any animals (pets) into any Home without the written authorization of VIP Management and Real Estate
b. Authorization must be requested at the time of reservation and will not be granted after confirmation of the reservation or at check-in.
c. Dogs are the only pets that will be authorized.
d. Homes noted as Pet Friendly on the VIP Management and Real Estate website allow animals solely with written authorization of VIP Management and Real Estate and on a case-by-case basis.
e. No more than two animals will be approved.
f. All approved pet stays are subject to a pet cleaning fee of $600 payable at the time of reservation to cover the cost of returning the Home to a pet allergy-free environment.
5.3 Service animals or Pets must adhere to the following rules:
a. No barking or excessive noise – if neighbors or adjacent Guests are disturbed, the animal will have to be removed from the Home.
b. Damage to the Home or furnishings by a Guest’s animal is not considered accidental and, as such, is not covered under Accidental Rental Damage Coverage.
c. Guests are fully responsible for the cost of repairing damage to the Home, including, without limitation, scratches to wood furnishings and doors.
d. Guests must notify VIP Management and Real Estate immediately of any pet damage in the Home
e. Animals that disturb or threaten other Guests or employees may be required to leave.
f. The pet owner is responsible for cleaning all animal waste. Guests who fail to pick up after their animal may be charged a $500 fee, and their stay may be immediately terminated and all payments retained.
g. All dogs outside must be on a leash at all times.
h. Animals are not allowed on furniture at any time.
i. Any evidence of animals on furniture or bedding will result in extra cleaning fees.
j. Animals may not be left unattended for an undue length of time, either indoors or out. Animals may not be left unattended on the balcony, patio, or porch.
5.4 If unauthorized animals are brought into the Home (including animals brought into a Home by visitors), the Guest will be charged $500 per day for each day of the reservation, and VIP Management and Real Estate may terminate the stay and retain all amounts paid.
5.5 Guests are responsible for all costs associated with boarding unauthorized animals at an offsite location.
5.6 VIP Management and Real Estate assumes no responsibility for illness or injury that may occur to animals while on the premises.
6. Hot Tubs
6.1 VIP Management and Real Estate places a high priority on the safety and cleanliness of hot tubs and spas. Private hot tub is serviced regularly, and water is changed, sanitized, and chemically balanced as needed prior to each stay.
6.2 If the water is sufficiently out of balance due to use and needs to be changed during the stay, the Guest will be charged $100. If there is any concern regarding the condition of the hot tub water, the Guest should contact the VIP Management and Real Estate immediately. Additional chemical checks can be arranged at the Guest’s expense for $25 per check.
6.3 Hot tubs are not available for use during cleaning, maintenance, and repair. No refunds or credits will be provided if the hot tub or pool is out of service.
7. Elevators
7.1 If the Home includes an elevator, it is provided for ease of access between floors. A reasonable amount of luggage can be loaded into the elevator and transported to other levels.
WARNING: The potential hazards posed by residential elevators are exceptionally high for children, with potentially fatal unforeseen consequences. For the safety of your loved ones, please follow these rules:
· Do NOT allow unsupervised children to use the elevators.
· Do NOT allow children to play or hide in the elevators.
· Do NOT jump up and down in the elevators.
· Do NOT overload elevators
7.2 Guests shall not stack luggage or impede the ability of the doors to freely open and close. Guests shall ensure that all doors are securely closed on each landing prior to use.
7.3 Guests acknowledge that negligent use of the elevators may result in damage, and the cost of the repair will be the responsibility of the Guest.
7.4 Annual safety inspections are performed on all elevators in VIP Mangement and Real Estate -managed homes.
7.5 An in-person walkthrough of the Home IS REQUIRED, during which one of our Operations Team members will provide detailed instructions on how to operate the elevator.
8. Fire pits
8.1 If the Home includes a fire pit, VIP Management and Real Estate and the owner shall have no liability or responsibility for injuries or damage that may be incurred from its use, regardless of cause.
Guests agree to the following conditions:
a. To follow all instructions and seek safety precautions and seek clarification on the use of the firepit when needed.
b. Children (under the age of 18) will not be allowed to play with or operate the firepit.
c. The fire pit shall be used exclusively for providing outdoor heat.
d. No cooking is permitted over a firepit.
e. Guests must adhere to all local fire ban regulations for fireplaces and fire pits.
9. Home Gym or Peloton
9.1 If the Home is equipped with exercise equipment such as gym equipment, Peloton, treadmill, etc, Guests use this equipment entirely at their own risk and accept all risks associated including the risk of mechanical failure, personal health risks including the ability to undertake exercise at high altitude, safety of others including children using or being near to exercise equipment in use. All Guests assume all risks associated with this equipment and release, discharge, waive, disclaim, and relinquish all claims, actions, or causes of action for personal injury, wrongful death, or property damage against MM and the Owners of the Home resulting from use of such equipment. All Guests agree that if an emergency rescue or evacuation becomes necessary, the expenses are the Guest’s sole responsibility and not that of VIP Management and Real Estate or the Home Owner.
10. Bunk Bed Safety Warnings
10.1 There are certain risks associated with using a bunk bed and bunk bed ladder, and Guests, on behalf of themselves and any minor children, agree that using the bunk bed and/or the bunk bed ladder is at the sole risk of the user. VIP Management and Real Estate and the Homeowner assume no responsibility for loss, injury, death, damage, or illness resulting from use of the bunk bed and/or ladder and Guest agrees to hold VIP Managment and Real Estae and the Homeowner harmless and with no fault whatsoever for any guest use of the bunk bed and/or ladder. While not an exhaustive list of precautions, Guests agree to follow these industry standards: 1) Use of top bunk is limited to occupants six years old or older; 2) Use of the top bunk is limited to 1 occupant and a maximum 175 lb weight; 3) No jumping or other horseplay on or around the bunk bed or ladder; 4) Always use the ladder for entering and leaving the upper bunk.
11. Zoning and Municipal Codes
11.1 Vacation Home rentals are subject to the zoning and municipal codes applicable to the Home’s location.
12. Sewer and Septic
12.1 When checking in to a condo/home, it’s essential that Guests familiarize themselves with waste disposal systems which could vary from their home location.
Homes on Septic: A septic system is very effective for handling waste; HOWEVER, these systems have limitations and will clog up if improper material is flushed.
DO NOT flush anything other than paper toilet tissue. No other products should be flushed, especially feminine products, baby wipes, paper towels, or other wet wipes. Do not deposit or flush cooking oil, tobacco, coffee grounds, unnecessary food, or other waste or materials.
Sewer lines and garbage disposal in all VIP Management properties. Guests agree not to flush any cloth rags, towels, baby wipes, toilet wipes, even those marked flushable, or anything other than toilet tissue down the toilet.
GENERAL NOTICE: Non-toilet paper items must be discarded in the trash to be correctly disposed of. Do not deposit or flush cooking oil, tobacco, coffee grounds, unnecessary food, or other waste or materials into toilets or drains.
In all cases, Guests will be held liable for damages and charges resulting from blocked pipes if it is found that such products have been flushed down a toilet or drain.
13. Additional Property Specific Terms
At all of the properties of VIP Management you follow specific rules and guidelines that are forwarded to you via-email and every each property also hold hard copy of the property guide
14. COVID-19 Supplemental Terms
14.1 Guests diagnosed with COVID-19 are required to notify VIP Management and Real Estate at your earliest convenience. If this diagnosis is received following your stay, we would also appreciate knowing so that we can effectively protect our employees through testing and isolation if required.
